Group Booking Terms and Conditions

Because you are making a Group Booking, there are additional Terms and Conditions that apply. Please read them and click 'I Accept' below to continue with your booking

General Group Booking Terms

By making a group reservation through Hostelworld.com you agree to the following terms and conditions as set by Hostelworld.com and as set by the hostel in question.

  • In order to make a group reservation on Hostelworld.com it is necessary to pay a deposit. The balance is due directly to the hostel according to their payment conditions.
  • The booking deposit is non-refundable.
  • Please note that any cancellations must be notified directly to the hostel at least 24 hours in advance of your scheduled arrival date, unless otherwise stated in the hostel's conditions.
  • Hostelworld.com are not responsible for changes or amendments to your reservation once it has been processed. All correspondence with regard to changes to your booking need to be dealt with directly with the hostel.
  • Cancellations for reservations must be made directly with the hostel and must conform with the individual hostels cancellation policy (see below)
  • It is your responsibility to pay the balance of your accommodation cost to the hostel in accordance with their payment conditions (see below). Failure to do so may result in your reservation being cancelled by the hostel.
  • Individual hostels may have special booking conditions relating to group stays, please read the hostel booking conditions carefully before making your reservation.

Hostel Specific Terms & Conditions

The remainder of the amount due will be charged to your credit card 1 week prior to arrival. Should numbers or room selection change, the per person deposit times the number of people who actually travelled will be deducted from the total accommodation charge levvied by the hostel.

Cancellation / No Show & Reduction in Numbers Policy

Cancelation policies
Cancelations or changes to the reservation must be communicated by email (info@sagresusnstay.com) with respective booking number, first and last name and the date of stay. Guests who decide to cancel later than two weeks before arrival, to leave earlier or that do not show up will be charged the full amount of the reservation.

Dorms:
- No fee will be charged for guests who cancel 10 days before the date of arrival.
- 1 night will be charged if the guests cancel the day prior to arrival.

Deluxe rooms:
- No fee will be charged for guests who cancel 10 days before the date of arrival.
- 1 night will be charged if the guests cancel the day prior to arrival.

Packages:
- Cancelations made 1 month before will be charged 50% of the total amount.
- Cancelations made 2 weeks before will be charged 90% of the total amount.

Hostel Rules
Guests should inform us in case they have any food allergies or physical disabilities.
In case of any damage or loss of the material, the client has to pay according to the price/budget established by the enterprise.
Pets are not allowed.
It is not allowed to smoke in any closed areas.
Guests who purchase the sports packages:
- are responsible for the use of the equipment. In case of loss or damage, they have to pay for the equipment purchase.
- group lessons have to have at least 3 people, otherwise it will be considered a private class applying other costs.

Guests who do not respect the rules can be expelled by Sagres Sun Stay, in which case refunds or cover for additional expenses will not be made.


Reservations and Payments
To make any kind of reservations, it will be needed to ask for the clients ID/Passport/Other identification document, VAT number, the home address, mobile number and e-mail address.
A reservation is only effective when the Hostel gives its consent on it, which will happen based on its availability and after receiving the respective payment (through agencies or directly in the Check-In). The confirmation e-mail will provide a confirmation code and the respective included services.
Guests can pay with debit/credit cards (Visa, Mastercard, American Express, Maestro, among others), cash or by Bank Transfer (for the last one to be acceptable the clients have to send the proof of it always before its arrival for the Accountant to confirm the deposit).


Rooms and Packages
In order to confirm the reservation, a 50% of the Bank Transfer must be made until two weeks before the arrival. The financial details will be supplied via e-mail as a response for filling in our online form in the website.
In case of loss or damage of any keys provided by the Hostel to the guests it should be applied an additional cost of 10€ per key.
To enjoy our thematic packages the clients must enter on a Sunday and leave on a Saturday, mandatorily.
Under 18-year-old people can make a reservation when presenting a signed document with his/her tutor (mother/father/family member) authorization. Reservations are only accepted when accompanied by a person older than 18 and in a twin private room.


Showers
Every client that buys at least one night in our dormitories has a shower per day included on the rate. Additional shower time will have an additional cost too of 1€.


Check-In, Check-Out
Check-In time is from 15h00 until 21h00. Guests are asked to let us know in advance in case they need to Check-In after that schedule.
Check-out time is until 11h00. Late Check-Out may be possible to do always depending on the availability and always when spoken with the Hostel, when not agreed with the entity/disrespect of the rule it must be applied an additional cost.


Food
All the reservations made with packages includes breakfast buffet. Customers who purchase the packages are also entitled to lunch packs.
The customers who do not purchase the packages must pay the breakfast separately.


Insurance
Our hostel has insurance according to the laws in force.

Capacity
Dorms:
Sagres Sun Stay has 3 types of dorms. Dorms can accommodate 12, 8 and 6 people. We try to put the guest of the same booking in the same room, however this cannot always be guaranteed.

Deluxe Rooms:
Each of the deluxe rooms have a capacity of 2 people and maximum one extra bed. Guests over 16 years old or an adult will be charged 15% the value of the room stay per night in an extra bed. Extra beds are possible to arrange due to the enterprise’s availability.

The type of personal information we collect
We collect some personal information about visitors and users of our websites.
We aggregate information such as: user names, member names, email addresses, IP addresses, other contact details, survey responses, blogs, photos, payment information, transactional details, tax information, support queries, forum comments, content sent for the website (item descriptions) and web analysis data. We also keep personal information from job applicants (CV, application form, cover letter and interview notes).

Collection of information
When personal information is provided, we save it. We also collect it automatically as you navigate through the website or through other people when accessing to services associated.
We keep your personal information when provided by the purchase of items or services on our website.

Mostly, the information is collected directly from others (agencies or reservation websites) but sometimes is provided from Google social networks and partners.

To fulfil a contract: facilitating and processing transactions that take place on the website.

• providing the services described on the websites;
• responding to support tickets and helping facilitate the resolution of any disputes;
• updating the clients with operational news and information about our enterprise and services (to notify about changes in our website, website disruptions or security updates);

• monitoring activity on the websites (to identify potentially fraudulent activity and to ensure compliance with the user terms that apply);

We are in Portugal therefore the personal information will be disclosed in Portugal.
In order to protect guests’ information, we manage to work with subcontractors and service providers who we believe maintain an acceptable standard of data security compliance.

We retain your personal information for as long as it is necessary to provide the services to you and others, and to comply with our legal obligations. If you no longer want us to use your personal information or to provide you with the Sagres Sun Stay services, you can request that we erase your personal information. Please note that if you request the erasure of your personal information, we will retain information from deleted accounts as necessary for our legitimate business interests, to comply with the law, prevent fraud, collect fees, resolve disputes, troubleshoot problems, assist with investigations, enforce the terms of service and take other actions permitted by law. The information we retain will be handled in accordance with this Privacy Policy.

Cookies and web analysis
When you visit our website and social networks, there is certain information recorded which is generally anonymous and does not reveal your identity. If you’re logged into your account some of this information could be associated with you.
Information saved:
1. IP address or proxy server IP address;
2. the domain name requested by the user;
3. the name of the internet service provider is sometimes captured depending on the configuration of the ISP connection;
4. the date and time of the visits in the website;
5. the length of the sessions;
6. the pages which users have accessed;
7. the number of times that a user has accessed our website within any month;
